Strategy:
To create a letter of cancellation and yet
maintain the future goodwill and full confidence of the client. So
your language must be polite and diplomatic stating clearly the
reason for the cancellation.
Stage One:
Open the letter by expressing your regret
that the proposed event will not now take place.
Stage Two:
At this stage explain clearly the reason for
the cancellation.
Stage Three:
Express your regret for any inconvenience
this may cause your reader. Then add that you intend to reschedule
the meeting at a later date and that you will send them full
details when they become available. Then add that all their
booking documentation and deposit will be returned to them
immediately.
Stage Four:
End by adding another apology for any
inconvenience caused
